Bookkeeper & Executive Assistant

Part-time — 1–2 days/week Path to Full-time Montreal preferred or EST/CST Remote

About ClearVu Finance

ClearVu Finance is a boutique fractional CFO, controller, and accounting services firm supporting startups and growing tech companies. We give founders the financial visibility and discipline of a full in-house finance team — without the overhead — so they can make confident decisions and scale with clarity.

We are in build mode. This is an opportunity to get in early, shape how we work, and grow alongside the firm as our client base expands.

The Role

This is a dual-function role combining two critical pillars of a lean, fast-moving advisory firm: financial operations and executive support. You will own day-to-day bookkeeping across a portfolio of startup and tech-sector clients while simultaneously acting as the right hand to the Founder — keeping communications organized, supporting business development, managing the firm's digital presence, and ensuring new clients are onboarded seamlessly.

The role starts at 1–2 days per week and is designed to grow into a full-time position as the firm expands. We are ideally looking for a Montreal-based candidate, but are open to fully remote candidates in the Eastern or Central time zone.

What You'll Do

Bookkeeping & Accounting

  • Run full-cycle bookkeeping in QuickBooks Online for multiple startup and tech clients — transactions, reconciliations, accruals, and clean-ups.
  • Own month-end close: journal entries, reconciliations, working papers, and delivery of accurate monthly financial statements on a consistent cadence.
  • Prepare and file GST/HST and QST returns (plus other applicable sales taxes) accurately and on time.
  • Maintain organized, audit-ready workpapers and documentation for every client.
  • Identify process improvements, automation opportunities, and QBO workflow optimizations across the client base.
  • Flag issues, risks, and unusual activity early — and communicate clearly with the Founder and clients.
  • Support ad hoc accounting projects (catch-ups, clean-ups, system migrations, reporting requests) as they arise.

Executive & Administrative Support

  • Manage the CEO's inbox and calendar — triage incoming email, draft routine responses, schedule meetings, and ensure the Founder's time is protected and well-allocated.
  • Conduct initial prospect calls and meetings — qualify leads, gather context, and provide the Founder with a clear brief before follow-up; act as a first point of contact that reflects the firm's professionalism.
  • Manage ClearVu's social media presence (primarily LinkedIn) — schedule posts, draft short-form content in the firm's voice, monitor engagement, and flag relevant conversations.
  • Onboard new clients — coordinate engagement letters, collect required documents and access credentials, set up accounting files, and guide clients through the onboarding process so they feel organized from day one.
  • Prepare meeting agendas, take structured notes, and distribute action items with clear owners and deadlines.
  • Draft, proofread, and format proposals, reports, presentations, and client deliverables.
  • Liaise with vendors, service providers, and external contacts on routine administrative matters.
  • Maintain organized digital filing systems for both internal documents and client files.
  • Support light project management — track open items, follow up on outstanding tasks, and keep the Founder informed of status without being asked.
  • Assist with ad hoc research, benchmarking, and information gathering to support business development and client work.

What You Bring

Bookkeeping & Finance

  • Minimum 3 years of hands-on bookkeeping or accounting experience, ideally across multiple clients or entities.
  • Strong working knowledge of QuickBooks Online — comfortable setting up files, managing multi-client environments, and troubleshooting.
  • Strong proficiency in Microsoft Office — including Excel (formulas, pivot tables, and data formatting), Word (document creation and formatting), PowerPoint (slide preparation and presentation design), and Teams (video calls, channels, and file sharing). You are comfortable producing polished, professional outputs in each tool without guidance.
  • An accounting or bookkeeping designation or certificate (e.g., CPB, RPA, ACAF, CPA student, college diploma in accounting, or equivalent).
  • Solid grasp of Canadian sales tax (GST/HST/QST) filing mechanics.
  • Sharp attention to detail, strong organizational habits, and the ability to hit deadlines without being chased.

Executive & Administrative

  • Prior experience as an executive assistant, virtual assistant, or office manager — or equivalent demonstrated ability to manage a busy executive's time and communications.
  • Excellent written communication — you can draft a professional email or LinkedIn post that sounds like the person you support.
  • Comfortable acting as a first point of contact with clients, prospects, and external parties — professional, warm, and discreet.
  • Strong digital organization skills: you keep inboxes, calendars, and file systems clean and logical.
  • Self-directed and proactive — you notice what needs to be done and do it without waiting to be asked.
  • Comfortable working independently in a remote, asynchronous environment with light oversight.

Nice to Have

  • QBO ProAdvisor certification.
  • French language proficiency — particularly valuable given our Quebec-based client base.
  • Experience working with startups, SaaS, or other tech-sector clients.
  • Familiarity with tools in the modern accounting stack: Dext, HubSpot, Float, Ramp, Rippling, or similar.
  • Prior experience in a multi-client firm, outsourced accounting, or fractional CFO environment.
  • Familiarity with CRM tools, email management platforms, or social media scheduling tools (e.g., Buffer, Hootsuite).
  • Experience with basic design or content tools (Canva, Notion, Google Workspace).
  • Montreal-based or able to meet in person on occasion (preferred but not required).

Location & Schedule

We are ideally seeking a Montreal-based candidate who can meet in person from time to time. We are also open to fully remote candidates, provided they are located in the Eastern or Central time zone (EST/CST) to ensure meaningful overlap with the Founder and clients.

The role begins at 1–2 days per week. As the firm grows and the scope of responsibilities expands, it is expected to transition to a full-time engagement.
